  • Scheduling, reminder and waiver software

    Hello and good day everyone!

    I am looking for software or websites for scheduling client appointments and sending reminders automatically. One that I can set up auto send for the intake packet and waiver forms.

    Who is using what? It needs to be COMPLETELY user, i.e. “me”, friendly. I have no professional training.

    I use Acuity Scheduling https://acuityscheduling.com/

    You can set up individual meetings, classes, forms, waivers, automated emails, payments, integrations with Zoom, Mail Chimp, Quick Books and much more. There is also padding before and after meetings, and the ability for the clients to cancel and reschedule on their own.

    I also use Acuity. Malka gave good info about it. I find it is easy to use. When you connect it to Zoom, about 5 minutes before a meeting it gives you a reminder that you have a meeting coming up and a button to click to start the meeting without having to log into Zoom. Very nice.

    I also use calendly.  I’m sure I’m not using it to its fullest potential, yet.  I have to set up the reminders.  I think I’ll still send the forms via Google Docs.

    I’m in a place where start up costs are a factor so trying to keep it looking professional, but mindful on spending!

    I signed up for TidyCal. It’s a $29 one time fee and does the basics of what I need it to do! 2 appointment reminders. Syncs to my calendars. Automates the Zoom link etc. Can embed on a website. Links for PayPal and stripe I believe. The only thing I have found it doesn’t do is send a follow up “review reminder”

     

    for intakes /waivers and whatnot, I use Jotform. It’s free for up to 5 forms that I customized to my branding, and also embed on my website!

    I tried Vagaro, did not find it use friendly. Did not find their customer support humans friendly either. I do not recommend them. 

    I use PocketSuite, which has a lot of functions.  Takes payment over the net or in person, can create forms and questionnaires they can fill out online, you can have the client sign a contract online, has zoom integration (sends client a link for online appts, etc), integrates with my personal Google calendar (so my personal appts will block work time and vice versa), supports in person services and physical product sales, and a bunch more things.  There is a learning curve, for sure.  Their human customer support is 80% of the time available and always listens well and is 90% of the time helpful.  Clients can self book appointments if I want them to, such as the free consultation, based on my calendar availability. Can set up automated reminder texts/emails to client as well as after visit request for a review.  

    Not super, super easy, but I do find it worth the time and the price.
